Why build a custom CRM instead of buying one?
Buy first, and build when the business has outgrown it. An off-the-shelf CRM is cheaper and faster for a standard sales pipeline. Building becomes the right call when the records are unusual, when the workflow keeps getting bent to fit the tool, when per-seat pricing has outrun the value, or when the CRM must be part of a product customers see.
What does a client portal give my customers?
A place to see their own records without asking. Depending on the business that means quotes and invoices, project status, documents, support tickets, bookings or payment history. The practical effect is fewer where-are-we-with-this emails, because the answer is already visible to the person who wanted it, at the moment they wondered.
How do our existing records get in?
By migration, planned as part of the build rather than left as homework. Records are exported from the current system or spreadsheets, mapped to the new structure, cleaned where duplicates and dead entries have accumulated, then loaded and checked against the source. Migration is where most of the unpleasant surprises live, so it gets scoped explicitly.
Who can see what?
Access is defined by role, and it is a design decision made early rather than a setting adjusted later. Staff, client and admin roles each get an explicit list of what they may read and change, enforced by the database itself rather than only hidden in the interface. A record a role should not see is never returned to it.
